Human Resources Assistant (Time and Attendance)
Job holder administers the bi-weekly Time and Attendance (T&A) reporting program in close cooperation with the Payroll Assistant. Duties include:
1. a) Main Timekeeper
Supervises the electronic filing system of T&A related documentation and reports, updates changes in employees’ work schedules, night shifts, VIP visit overtime, and maintains timekeepers’ list, logons, and holiday list up-to-date. Provides guidance to section timekeepers and reviews all entered data to ensure accuracy of the data which is submitted for salary payments each pay period. Develops and offers individual and group Time and Attendance courses to customers, and provides technical support.
b) Leave Specialist
Monitors all types of leave, verifies that it has been correctly encoded, and processes corrections as needed. As leave specialist, is the go-to person for all questions regarding presence and absence. Educates employees and supervisors on leave regulations and leave options under the Belgian social security system.
2. Assistant Payroll Coordinator
Assists in auditing the Locally Employed staff payroll and the Belgian Social Security reporting. Computes supplemental payments for employees on long-term sick leave. Completes all HR-related social documents (e.g. mutuelle, ONEM/RVA). Acts as back-up for the Payroll coordinator during periods of absence or leave.
3. Awards Coordinator
Manages the “Awards program” for American and Local staff on a bi-annual basis in order to ensure special achievements are properly recognized. Advises on procedures, regulations, and eligibility for receiving awards. Coordinates the administrative process of submission of nominations, approval, payout and administrative follow up of the awards. Organizes the ceremony by inviting nominees, arranging for certificates, medals, pins, etc. for the awardees.
