Job Description

As Management Assistant, you will make sure to have an extensive knowledge of the organization and manage very confidential material and information. You will work for the CFO mainly and also for the CEO and the Group Construction Director.

The Management Assistant, along with the CEO Personal Assistant (PA), acts as the manager's first point of contact with people from both inside and outside the organization.

Tasks & Responsibilities:

  • Plan and organize the various Board of Directors, management committees;
  • Collect the information and prepare the Board of directors and management committees;
  • Produce and translate documents, briefing papers, reports and presentations;
  • Deal with incoming emails and post;
  • Plan and organize events;
  • Support corporate branding of the company;
  • Assist the CFO in his/her calendar management and schedule, arrange appointments and meetings;
  • Acts also as back-up for the CEO and the Group Construction Director;
  • Organize travels, visas and accommodation;
  • Answer, screen and forward phone calls or take messages where appropriate;
  • Obtain signatures and authorizations as required;
  • Coordinate other projects in collaboration with PA and/or other departments when necessary;
  • Complete research projects related to finance management, analyze and assemble data for report preparation;
  • Ensure that policies/procedures are met and or updated where needed;
  • Review annually and recommend changes as required and or update as changes are made to maintain up to date policies and procedures for both the board and other;
  • Taking of minutes at Board/Committee (committee meetings as required) meetings and completion of draft minutes within specified timelines;
  • Provide financial administrative support;
  • Back-up of PA

Job Requirements
As ideal candidate, you will :

  • Be fluent in Dutch, French and English. Any additional language is an asset;
  • Have a Bachelor or University graduate;
  • Have Three to five years of experience as assistant (required);
  • have exceptional written and oral communication skills;
  • have a high level of discretion, empathy and confidentiality;
  • be proactive, positive, problem-solver;
  • Have an analytical mind with strong organizational and time management skills, thrives when put under pressure, able to juggle a wide range of different tasks;
  • be flexible and willing to work overtime during peak times and/or when deadlines are close (no “9-to-5” job);
  • be Independent but also team-player;
  • like frequent contact with people, either face-to-face or by phone or email;
  • be computer literate, experience with MS Office programs;
  • Want to contribute to a performing team in a growing international company
