Job Description

You enable the productivity and success of the Managing Director Europe Operations through a full range of secretarial and administrative services, including SAP pricing and discount data management, special projects and office management.

Primary Duties and Responsibilities:
  • Secretarial services (30%) - Act as an information and processing center, and strengthen management efficiency
  • Anticipate needs and requirements
  • Prioritize activities; initiate advance planning and organization for meetings, special functions, reports and projects
  • Communicate with and act as liaison between executive management & senior managers at local and global locations
  • Follow up and ensure requirements and deadlines
  • Organize domestic and international travel for executive management & executive visitors from other locations
  • Prepare letters of invitation and international business visas as required by country of travel.
  • Plan, arrange and coordinate on-site and off-site business meetings and functions for special occasions
  • Administrative Support (35%) – together with Sales and Finance
  • Compile and edit daily, weekly and monthly reports
  • Coordinate and compile presentation updates as needed
  • Prepare and edit BSC, target reports, profitability reports
  • Prepare, edit and proofread correspondence, reports, and presentations; organizational charts
  • Maintain filing of commercial contracts
  • Perform special projects and special requests as needed
  • Data coordinator (maintenance of SAP pricing and discount) (35%) – together with pricing analyst
  • Customer Master Data
    Request customer creation using the appropriate form
    Request customer data maintenance using the appropriate form
    Block customer in SAP (sales view: order entry/delivery) & inform internally
  • List Prices
    Create and maintain List Prices based on Managing Director, European Operations instructions
    Request List prices upload list price in SAP to IS
    Assign Customer to a price list
    Maintain the Russian Distributor price list
  • Discounts
    Issue and maintain Discount Schedules for Distributors
    Communicate pricing conditions internally
    Upload discounts in SAP (regular, customer's specific, and promo)

Job Requirements

This role exercises tact and diplomacy in addition to handling large amounts of confidential material with complete discretion and operates with great latitude for independent judgment and initiative.

  • You have 5 years of executive administrative assistant experience. International business experience a plus
  • You have an Associate's degree in Business or comparable discipline
  • You have advanced proficiency Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, MS Project, Visio, and SharePoint; including business reporting modules
  • You have excellent French and English (oral and written) communication skills
  • You have the ability to plan and organize activities, processes and workload
  • You are detail-oriented and accuracy in task management and document production
  • You have the ability to interact with all levels of the organization
  • You must be able to effectively multi-task and prioritize high level workload
    You are able to complete responsibilities in a timely, professional and quality manner
  • You take initiative, seek and act on opportunities to improve organization performance
