As Personal Assistant for the CEO, you will directly work with him.

Moreover, you will work as Management Assistant for the HR Department.

Client Details

Our client is an international company active in the automotive sector and located in Walloon Brabant.

Description

1) President secretary

  • Make any trip arrangement to ensure President satisfaction in line with company policies
  • Organize any trip for President or AE top management visitors

  • Support AE activities in line with representativeness among Japanese organizations/communauties in Europe. This role may require participation to evening/week-end events at occasions

  • Prepare any documents based on President or top management instructions (Presentation, minutes, etc.)

  • Welcome and President or top management visitor

  • Support President for any activities related to his residence in Europe

2) Administration division support (reporting to the HR, GA& IT Senior Director)

  • Act as back-up for any activities for supporting expats support activities (work permit, visa, tax return, housing, etc. accordingly to company policies and management instructions
  • Investigate and resolve queries from expatriates escalating to the HR&GA Director for exceptions to policy

  • Back-up Liaison with HR Team in Japan for expatriate

  • Assist HR team to deliver services in accordance with policies and guidelines

  • Support continuous improvement, recommending strategies to improve service quality and cost effectiveness to the HR, GA&IT Senior Director

  • Support for audit related activities

  • Keep HR, GA&IT Director continuously informed of status and any possible issue

  • Issue monthly follow-up and statistics on department and own activities

  • Prepare and send daily news

  • Support for translating information to make monthly HR Pan European reporting

  • Support for follow-up of budgets

  • Support the organization of any company event in order to make it successful and valuable

Profile

We are looking for:

  • Similar experience of minimum four years
  • Sense of service

  • Strict respect of confidentiality

  • Command in English. Fluent Japanese are a must. French is a strong asset. German is an asset

  • Flexibility with tasks and time

  • Possibility to make occasional short business trips (1 to 3 days)

  • Excellent computer skills (excel, word, PowerPoint, internet search)

  • Excellent analytical skills and strong with figures

  • Car driving licence
