OfficeTeam is currently looking for a Receptionist - Secretary (M/F).

Our client is situated in the center of Brussels and is easily accessible with public transportation.

The company is active in the lobbying industry.

As Receptionist - Secretary (M/F), you will be responsible for the following tasks:

  • Reception, telephone and mail:
    • greeting, welcoming, and directing visitors appropriately
    • operating the switchboard in a warm, confident and happy manner
    • dealing with queries from visitors and staff
    • sorting and distributing internal and external mail, centralising and stamping outgoing mail, follow-up of courier and taxi services
    • monitoring visitor access and maintaining security awareness
    • reception of deliveries
  • Meetings & events
    • organising of webex conference and meeting room bookings
    • managing computerised booking system (outlook calendars)
    • booking catering facilities - organising lunches and liaising with caterers
    • preparing of meeting rooms: technical installations, set-up, preparing of catering trolleys, printing of meeting documents, …
    • assisting before and during events (participants lists, badges, name plates, mailings, …)
  • Administration and support
    • providing general administrative and clerical support
    • controlling of inventory relevant to reception area and canteen and placing orders
    • monitoring and recording petty cash payments
    • basic bookkeeping duties (preparing invoices for booking)
  • Travel (when Administration assistant is absent)
    • researching best transport and accommodation prices
    • making hotel bookings, train reservations, ordering train tickets and FIP coupons, organising their delivery

The requested qualifications for this Receptionist - Secretary (M/F) position include:

  • bilingual English/French, another major European language is considered a plus
  • good communication skills
  • good with computer systems, Microsoft Office, internet research
  • well-organised and efficient, able to multitask while remaining attentive to detail
  • autonomous, problem solver, remain calm under pressure
  • service minded with good team spirit
  • positive attitude, friendly and polite
