As Executive Assistant you will report directly to the CEO & the HR Manager of the company. You will also act as the office manager.
Client Details
This company is active in the building maintenance sector. They are located in the West side of Brussels. This is a small office of 40 people in total.
Description
As Executive Assistant - Office Manager, you will report directly to the CEO and HR Manager of the company and deliver the following tasks :
Executive Assistant tasks :
- Assist the Direction with calendar management and meeting organisation
- Act as first point of contact via email & phone
- Establish new communication flows & structure
- Update information and files in the database
- Create & communicate documents on behalf of the Direction
- Translation of documents in French & Dutch
- Assist the Direction in any other necessary tasks (can be in administration but also in marketing and communication)
Office Manager tasks :
- Order office furniture/supplies
- Manage contracts with suppliers
- Invoicing and client contact
- Management of corporate communication
- First point of contact for any stakeholders (and the HQ located in Germany)
- Management of the car fleet, working clothes pool and phone administration
Assistance to the HR Manager :
- Assist project assistant and HR Manager in their administrative tasks
- Management of the personnel folders
- Contact the insurances for the employees' affiliations
- Assistance in the payroll and in the control of the time sheets
- Assistance in the recruitment procedures
Project Assistance :
- Take part in any project based on the implementation of new processes and intern procedures
Profile
The successful Executive Assistant - Office Manager is/have :
- A Bachelor Degree in Office Management or any other relevant field
- Excellent knowledge of French and Dutch is required (min. C1 level)
- Good knowledge of English (min. B2 level)
- Knowledge of German is a big plus (any level ! )
- Minimum 4 years of experience in a similar position
- Proficiency in MS Office
- Being autonomous and flexible
- Excellent communication & interpersonal skills
- Sense of organisation and ability to prioritise
