As Executive Assistant to the Director, you will bring administrative support to the Director to support optimal use of her time and resources for effective achievement of her goals and responsibilities.

Our client is a NGO for Climate & Energy, located in Brussels.

Description

As Executive Assistant to the Director, you will have to deliver the following tasks :

  • Research, prioritise and follow-up on incoming concerns identified by the Director
  • Manage the Director's calendar, schedule meetings and coordinate travel plans
  • Plan remote and in-person meetings by compiling agendas, coordinating logistics and materials for the meeting and inviting guests (Be careful - many different time zones have to be taken into account)
  • Prepare briefing materials for the Director in preparation for meetings and travels (drafting presentation materials or any documents for example)
  • Manage the monthly expense reimbursement for the Director
  • Complete critical aspects of deliverable, including drafting letters, personal correspondence and presentations for the Director
  • Communicate directly with staff on matters and outcomes related to the Director's engagements
  • Identify opportunities to provide additional support in alignment with the Director to fulfil organisational needs

Profile

The ideal candidate for the position of Executive Assistant to the Director is/have :

  • Bachelor Degree required
  • At least 3 years professional experience in a similar position
  • Experience in an international environment (working across different cultures, languages and time zones)
  • Experience within an NGO or EU Association is a plus
  • Excellent knowledge of English is required (both written and spoken). Any other European language is a plus.
  • Great organisational skills, eye for details
  • A keen interest for climate change is a plus
  • Excellent verbal & communication skills
  • Commitment and ability to work in a networked organisation, with multiple stakeholders
  • Ability to meet deadlines and accomplish work in order of priority
