We are currently looking for an Office Manager for a global legal firm located in 1050 Brussels.
Function
Key Responsibilities
- OFFICE MANAGEMENT:
- Manage office organisation, internal processes and procedures plus the daily administration of a busy international legal firm
- Working closely with the Partners, Finance Manager, Business Development Executive and Secretaries to ensure the correct level of high quality support
- Coordinate weekly office meetings and monthly partner meetings
- Managing all procurement, supplier contracts and relations
- Ensure appropriate insurance coverage
- SPOC for Landlord
- Oversee office maintenance
- Responsible for both Health and Safety and Environment and Sustainability
- Organise all office’s social events
- HUMAN RESOURCES:
- Lead on all aspects of the employee lifecycle and associated administration
- Collect payroll data and communicate it to the social secretariat
- In charge of the benefits scheme
- Plan and present in the mid-year and annual review processes
- Coordinate the submission of the annual salary survey
- Involved in international HR Managers’ conference calls/seminars
- Support the international mobility to and from Belgium
- Be the HR Lead Contact for all HR initiatives
- TRAINING & DEVELOPMENT:
- In cooperation with the EMEA Learning and Development Team organise professional development trainings for Legal and Business Support Staff as well New Joiner Inductions
- Liaise with the French and Flemish Bar for CPDs
- FINANCIAL:
- Support the Finance Manager and COO in the creation of the office budget
- In charge of the office operational budget
Profile
Your Profile
- Minimum 5 years’ experience as an Office Manager in a professional services company
- The HR aspects of the role can be trained
- Excellent English (written & spoken) plus excellent Dutch OR French
- Experience of building trust amongst demanding stakeholders and forming strong working relations with diverse stakeholders in Brussels and internationally
- Diplomatically assertive, able to challenge
- A service minded Team Player
- Being well organised in this fast-paced firm is a must
