Client Details

Our client is a consultancy firm located in the city center of Brussels and easily reachable by Public Transport.

Description

Human Resources:

Project and anticipate personnel needs

Oversee recruiting and selection of all employees

Organize trainings and orientation programs for new employees

Gather feedback for, draft and conduct staff evaluations and annual reviews

Liaise with Belgian Social Security authorities and process registration and de-registration of employees for local insurances

Manage personnel records in compliance with GDPR requirements

Ensure respect of Firm guidelines and procedures by all employees

Foster a collegial and inclusive environment

Finance:

Prepare and manage staff payroll and liaise with payroll processing vendor to ensure compliance with all Belgian legal requirements

Review all office expenses on a weekly basis and ensure alignment with budget forecasts

Supervise invoice processing and Petty Cash

Verify and sign off on all payments in compliance with firm procedures

Operations:

Manage relationship with the landlord and the office lease for both the Brussels and London offices

Liaise with all suppliers and manage all supplier contracts in Brussels and London

Review all vendor services and contracts on a regular basis to ensure most cost effective, efficient services

Determine and organize the allocation of offices and firm parking spot

Manage all facilities in the Brussels and London offices

Manage all professional insurances for Brussels, London and Geneva

Always ensure compliance with Health and Safety guidelines by all personnel

Oversee firm wide compliance with 3 ISO certifications

Manage organization of all internal and external events such as annual Xmas dinner, Summer BBQ, golf initiations, Happy Hours, internal and external conferences

People Management

Manage a team of 4 support staff.

Profile

Must have at least 5+ years' experience in office management in a professional service firm environment

Must be able to work totally independently, but also as a team member

Excellent level in all Microsoft Office Products

Strong administrative and organizational skills

Strong leadership skills

Must speak perfectly French and English
