Our client is an European Association that represents more than 180 members in different industrial sectors (engineering, ceramics, chemicals, minerals, etc.).



Job Description

We are looking for a Communications Assistant (m/f/x) for an European Association that represents more than 180 members in different industrial sectors (engineering, ceramics, chemicals, minerals, etc.).

As Communications and Membership Assistant, you will be in charge of creating and publishing content in the client's website, publishing newsletters and other publications. You will also be in charge of the overall membership administration aspects including supporting the team to engage the members in the client's activities. You will maintain the communication and membership tools and will support the team on administration and logistics aspects related to the organization of events and meetings. A successful candidate is expected to have a high level of autonomy at work, taking full responsibility for his/her tasks while having a great teamwork spirit.

Description of the tasks

As a Communications Assistant you will have to:

  • Operate and update the client's members collaboration tools (e.g. SharePoint) ;
  • Manage and enhance the internal communication with the client's members. (E.G. Members bulletin, et al.) ;
  • Manage and enhance the Association’s external communication channels (website, social media, newsletters, etc.) ;
  • Manage and enhance the dissemination tools (e.g. Projects’ brochure, website information and outputs) ;
  • Generate and write content for social media, news releases, newsletters, bulletins, etc ;
  • Prepare presentations and small publications, manage relations with providers ;
  • Support to coordinate the logistics and organization of internal events and workshops ;
  • Support to manage the team calendar for events and meetings.

Membership Administration:

  • Management of membership process (application, approval, resignations…) ;
  • Prepare outgoing membership invoices and keep a record of membership fees ;
  • Prepare membership related documents ;
  • Participate and manage the activities to welcome and onboard new members (added value webinars, welcome package, et al.) ;
  • Elaborate statistics and reports on membership ;
  • Organise and maintain internal databases (CRM) and centralized filing systems ;
  • Prepare and follow up of campaigns addressed to members ;
  • Support the team in other ad-hoc assignments related to the day-to-day activities of the association, including events and meetings ;
  • Maintain relations and coordinate with suppliers by setting–up contracts, follow-up of activities and taking care of administrative and financial arrangements.



Job Requirements

The successful candidate will be an experienced professional who demonstrates the following experience and competencies:

  • A Degree in communications, public relations, business administration or related studies ;
  • Ideally 3 years experience in a similar position ;
  • Excellent writing skills in English and the ability to set a fresh communication style and lay-out in our publication ;
  • Should have good understanding of how to use different dissemination and IT channels (social media, website, CRM, SharePoint et al.) ;
  • Autonomous, Organized, flexible, open-minded, proactive and problem-solving mindset ;
  • Knowledge and experience within the European context in Brussels would be highly considered ;
  • Excellent spoken and written English and French ;
  • Travelling availability when key events or meetings require.
