Job Description
Responsibilities and tasks
- Supporting the planning and organisation of committee meetings before, during and after each session
- Managing the planning and catering requirements for the organisation of each committee meetings
- Managing communications to internal and external stakeholders.
- Managing various and complex shared mailboxes and make sure all requests coming from stakeholders are answered
- Establishing and maintaining the dedicated SharePoint pages and supporting members with their accesses to these pages
- Supporting launching written voting procedures in the dedicated tools
- Participating to key meetings and webinars, and supporting the preparation (sending invitations, management of documents, support of reporting, scheduling, correspondence, etc.), facilitation and follow-up
- Monitoring key deliverables and reporting to the appropriate bodies and structure within the Association (keeping updated the dashboards, repositories and risk registers, etc.)
- Collaborate with the team on best practices on project management implementation and Stakeholder communication
- Support different Steering groups (under the committees) with collecting inputs ( for surveys, comments and updates for reports, assessments, etc.
- Other tasks: templates update, calendars, revamping intranet space, support the team with induction sessions, etc.
Job Requirements
Profile
- Training or degree in secretariat, business administration or similar with preferably 2 years’ experience in an administrative assistant position
- Strong organization and planning skills, with proven expertise in supporting complex teams and task management under complex structures
- Well-developed interpersonal and verbal/written communication advanced skills
- Change management expertise with a proactive and flexible, service-oriented attitude
- Advanced MS office and SharePoint skills
- Ability to work within a multinational and multicultural professional environment
- Strong interest for the energy sector, an experience in the electric power industry being a plus
- Language skills: English Native/ Fluent (ability to draft documents and emails for VIP), , other language skills are considered a plus.
