As an Office Manager you are ensuring the smooth running of the office. You will work closely with the management.

Description
Key responsibilities:
- Serve as the point person for office/staff queries about office administration, HR administration, and facilities -related issues
- Manage contract and price negotiations with office suppliers and service providers
- Coordinate with IT suppliers and internal IT department on all IT kit and office equipment
- Provide building management and facilities supplier liaison, day-to-day coordination on building maintenance, cleaning & security issues
- Day-to-day financial administration and processing
- Process invoices and follow up with clients, suppliers and partners as needed, update internal systems with financial data
- Process payments and maintain invoice, payment etc records for transmission to external accountant
- Assist Head of Office with HR administration

o organising and maintain staff files
o liaison with secretariat social - Support management with implementation, review and improvement of business supporting policies and procedures (office, staff, financial)
Profile
The successful candidate:
- At least 4 years of experience as an Office Manager, HR /Administrative Assistant, Financial
Administrator or similar relevant role - Excellent written and verbal communication skills in English and French
- Strong organisational, planning and time management skills and ability to multi-task and prioritise work
- Good customer-focused communicator with strong interpersonal and communication skills
- Strong sense of organisation and excellent ability to work flexibly, on own initiative, as part of a small team and with a range of stakeholders
- Ability to schedule own workload and achieve targets and deadlines
