Job Description

  • Outlook calendar management (appointment scheduling, tele/visual conferences, etc.)
  • Telephone and contact management
  • Mail and e-mail follow-up
  • Organisation of meetings and note-taking (PV), organisation/management of seminars, various events and congresses (face-to-face and virtual)
  • Organisation of scientific trips/seminars/symposia: financing, logistics, planning, slides, contracts and expense reports
  • Updating doctors' CVs
  • Submission and follow-up of publications
  • Preparation of PowerPoint presentations
  • Supervision of students/interns/visitors, foreign doctors (reception, planning, administrative procedures)
  • Management of all types of files
  • General administrative assistance
  • The job requires the ability to move continuously from one subject to another and to manage sometimes very short deadlines. As research activities take place in an international context, many letters and contacts are handled in English.

You will be part of a team and as such, you will be responsible for replacing certain colleagues in case of absence.



Job Requirements

  • Have a Bachelor's degree, preferably in secretarial studies
  • Meet the requirements for the position
  • Very good verbal and written communication skills
  • Excellent knowledge of oral and written English
  • Excellent knowledge of PowerPoint and Word + MS Outlook and Internet skills (good knowledge of Excel and Teams is a plus)
  • Good organisational skills, fast and dynamic, good time and priority management

Salary and Benefits

An indefinite contract of 38 hours per week with a public sector pay scale (social charter).

  • Assimilated to the grade of : Administrative Secretary
  • Full-time annual amounts: Scale of pay (social charter): B 1/2/3
  • Min : € 28 063,34 indexed (index: 1.7758)
  • Max. 49,526.18 indexed (index: 1.7758)

The maximum is reached after 27 years of pecuniary seniority. Extra-legal benefits :
