To strengthen the team in Mont-Saint-Guibert, we’re looking for an (m/f): Administration & Office Manager.
Responsibilities:
As an Administration & Office Manager, you have a central supporting role towards the team, its projects, and the company for all administrative, payroll and office management aspects.
Your main responsibilities are the following:
Office management:
- Management and follow-up of office and laboratory supplies.
- Management of a pleasant and efficient work environment. Overseeing office infrastructure maintenance, protection and development.
- First point of contact with external world when it comes to general inquiries.
- Organization of meetings, events, appointments, or travels.
HR administrative management:
- Administration and follow-up of payroll, salaries and HR budget.
- Administrative management of various benefits: health and group insurance, company cars, meal vouchers, etc.
- Single point of contact with the social office
- Manage timesheets implementation and effectiveness for grants reporting
Finance and legal aspects:
- Oversees expenses notes and credit card expenses
- Preparation of payments and follow-up of payment authorizations
- Organize signature and archiving of contracts and other relevant documents
Profile:
- You have a Bachelor's or Master's degree, or equivalent through experience.
- You have at least 3 years of successful experience in a comparable position.
- You are result-oriented, autonomous and proactive.
- You have a supporting mindset and enjoy interacting with colleagues.
- You thrive in a team support role.
- You enjoy working on many different areas
- You have a continuous improvement mindset
- You plan and organize your work and priorities.
- You have good communication skills, fluent in French & English.
- You are comfortable with IT tools (Word/Excel/Powerpoint/Outlook, ERP…).
