As an Office & Meetings coordinator, you will be the first and regular point of contact for our partners, suppliers and colleagues. Your role is to play an active part by collecting and delivering information

Client Details

Our client is a well-known international organisation located in Brussels. Their offices are reachable by public transports.


As an Administrative and Office coordinator, your responsibilities are to:

  • Be responsible on day-to-day office management & facilities;
  • Coordinate internal and external meetings, events & travels;
  • Monitor partners' membership for the company and its affiliated entities;
  • Be a strong link in purchasing process by monitoring, collecting & compiling orders;
  • Provide support to accountancy and financial aspects, prepare and follow-up outgoing invoices;
  • Follow-up on timesheets and absences of the team and provide induction trainings;
  • Support on procedures updates, edit reports;
  • Maintain filing system.


As successful candidate, you have:

  • At least 3 years experience in a similar position;
  • Excellent knowledge of both English and French (written and oral) Good level in Dutch (written and oral);
  • Very good knowledge of MS office. Other IT tools, such as Odoo, will be an asset;
  • Strong planning and organisational skills, ability to work with deadlines;
  • Multi task interest,
  • Ability to work on own initiative and within a team;
  • Ability to connect with others and interact with them;
  • Accurate, discreet and have affinity with figures;
  • You are an enthusiastic and positive person.
