As an Office Manager (M/F/X), you will equally provide support to the staff and the Executive Director in all required activities.

Description
As an Office Manager (M/F/X), you will be in charge of the following responsibilities :
- Day-to-day handling and monitoring of financial and administrative tasks related to the association and its initiatives (e.g. expenses, budgets, invoices) including preparation of reports and maintaining filing systems, databases and calendars;
- Supporting the association staff with the administrative, organisational and financial management of the association projects, to ensure their efficient implementation;
- Providing IT support and initiating trouble-shooting procedures;
- Management of office infrastructure, including placing orders and supplies stocking;
- Implementing the on boarding support for new staff;
- Correspondence on HR topics with an external social secretariat;
- Supporting the organisation of in-house and external events, including scheduling, arranging travel and accommodations, and booking meeting spaces;
- Supporting the Executive Director in the development of tasks.
Profile
- Formal education in a related field (e.g. business, public administration) with a minimum of 3 years of working experience
- Excellent written and verbal communication skills in English and French. All other European languages are a plus
- Experience in implementing office procedures, financial and administrative reporting in non-profit organisations, preferably also in the context of EU-funded projects
- Solid knowledge of office management software like MS Office (Excel and Word specifically) and databases
- Good computer literacy and experience with office software for time recording, conducting surveys and accounting systems
- Ability to identify problems and provide solutions, to take initiative, prioritise and work under set deadlines
- Service-provision oriented
- Well-organised with an eye for detail
