As a Personal Assistant, you are working for the managing partner in its daily tasks.
Client Details
Our client is an international law firm located in the centre of Brussels. Offices are reachable by public transports.
Description
As a Personal Assistant (M/F/X) :
- Acting as a first point of contact: dealing with correspondence and phone calls
- Managing diaries(Outlook-agenda)and organising meetings and appointments, often controlling access to the manager/executive/lawyer
- Booking and arranging travel, transport and accommodation
- Organising events and conferences
- Reminding the manager/executive/lawyer of important tasks and deadlines(deadline management)
- Typing, compiling and preparing reports, presentations and correspondence(emails, letters)
- Transcriptions
- Proofreading technical, often complex legal texts (requires a high level of linguistic skills,especially in German
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers and clients
- Collating and filing expenses
- Miscellaneous tasks to support their lawyer,the team and making sure that the procedures in the office are running smoothly
Profile
- Discretion and trustworthiness: deal with confidential information
- Flexibility and adaptability
- Fluent in German and English. Good oral and written communication skills in French or Dutch
- Organisational skills and the ability to multitask
- The ability to be proactive and take the initiative
- Tact and diplomacy
- Communication skills
- A knowledge of standard software packages(Microsoft, Word, Excel, PowerPoint)and the ability to learn company-specific software(on-boarding-phase, training and learning on the job)
- Ideally with some previous experience in a law firm(or similar function), but not mandatory
