Job Description

Tasks and responsibilities

  • Centralize administrative documents & follow up internal approval flows such as Fair Pay, Icertis + contract signature, MAP,..
  • Participate to monthly expenses reviews to make sure budgets are respected/phased
  • Participate to meetings to discuss/support/optimize operational tactics
  • Support the execution of the entire purchase to pay process
  • Management of contracts (national/Intenational)
  • Follow-up of financial administration : Open PO review, ACR submission and follow-up, invoices follow-up
  • Organize & coordinate International/ national congress participation
  • OEC: Ensure OEC rules are respected
  • Organize and coordinate meetings (Sales meetings, Team meetings, cross-division meetings,…)
  • Support onboarding coordination for newcomers
  • Handle ‘ad hoc’ additional tasks on request of Manager
  • Manage back-up with colleagues to ensure support continuity
  • Active participation in Purchase to Pay (vendor activities) monitoring, internal controls, and process improvemen
  • Review all Shopping Carts created: check the completeness and accuracy of the supporting documentation, ensure compliance with guidance
  • Follow-up on key Global and Local KPI such as blocked invoice process, PO after the facts, …
  • Support to the affiliate for the new vendor creation process

Other competencies and skills

  • Minimum 5 years of experience as an Secretary/Mgt. assistant
  • Trilingual Dutch, French, English
  • Education on A1 level
  • Good general business sense
  • Adaptable to commercial and international environment
  • Flexibility on work demands, able to work under pressure
  • Proactive, able to take initiatives
  • Team worker
  • Confidential



Salary and Benefits

Our client offers you an attractive temporary contract. The contract will end in September 2023. You will have the possibility to work from home and work part-time if you wish.
