iTeos Therapeutics is now a world-class actor in the sector. To carry on its growth and reinforce its team, the Company is looking for an Administrative Assistant - Biotech.

Responsibilities:

iTeos Therapeutics is searching for a resourceful colleague that will be responsible for ensuring administrative support to the Gosselies-based Pre-Clinical Management team. This position will operate under the guidance and direction of the Executive Assistant.

Main responsibilities:

  • Provide administrative support to ensure efficient operation of the Research and Development, e.g. :
    • Support the R&D heads of units for meeting organization and other administrative tasks such as agenda management, contact with externals partners.
    • Provide general administrative support to R&D department.
    • Proactively arrange registrations to conferences and travel arrangements for R&D department.
    • Manage conferences calendar.
    • Follow-up on travel expenses: travel approvals, invoices, expense sheets, credit card statements.
    • Assist for the creation of purchase orders.
    • Assist for catering arrangements (internal & external).
    • Welcome visitors when needed.
  • Ensure administrative follow-up for sample shipments :
    • Ensure administrative tasks related to international samples sending through courier (Fedex).
    • Ensure administrative compliance with national regulations.
  • Teambuilding events :
    • Organize or coordinate teambuilding events (inhouse or through external partners).
    • Coordinate communication on teambuilding events with Executive Assistant.
  • Assist Executive Assistant for process creation and implementation :
    • Propose ideas to improve current processes.
  • Back up Executive Assistant and Office Management Assistant in case of absence :
    • Ensure high-level support to Belgium-based EXCOM members to ensure support continuity in case of absence of the Executive Assistant.
    • Circulate internal communications when needed.
    • Ensure office management tasks when needed.
  • Handle tasks or lead specific projects as they are assigned.

Profile:

  • Bachelor or Master’s degree with a first experience (preferably 5 years min.) in a similar position. Biotech and/or Pharma exposure is a strong plus.
  • Fluent in English and French (oral and written) is a must. Knowledge of Dutch or other languages are a plus.
  • Ability to communicate effectively with all levels of management, and with external contacts, both oral and in writing.
  • Ability to prioritize and address both regular routine activities and unplanned emergency situations effectively.
  • Ability to work independently as well as within a team.
  • Excellent communication, organizational and interpersonal skills.
  • Proactive, sense of responsibility, anticipates issues, flexible, discrete.
  • Excellent computer skills: MS Office, Intranet /Internet.
